Re the projector issue, might be cheaper if you used a venue (especially a non-commercial one) which has projectors already, e.g a university venue like nearby LSE? they certainly have lecture theatres with all the usaul AV equipment
Unfortunately we are committed to Middle Temple Hall, having sold most of the tickets. I think we have now decided that it will just be too expensive to bring in a screen and projector - we're now going to keep things simple.
Maybe you could just play the song over the speakers and give them the Youtube link for later viewing? You could maybe give them a handout as well with the words and they could sing along to the audio? And you could consider miming some actions live at the front if you feel inclined...
From my humble experience as a sound company man & live event producer - it was doomed in Temple. Sound desk needed to be FOH - engineer didnt have a clue what was going on - in-house speakers not suitable for lavalier/lapel mics - two pairs of speakers on stands down the room would have given better coverage & handheld all round (not ideal). Hopefully goes better this time. M.
